If you run a small business, you probably spend more time on admin than you'd like to admit. The good news is that much of it doesn't need you. Here are ten jobs most owners can hand over this month, starting with the ones that free up the most time.
1. The inbox
Reading, sorting and replying to routine emails can take an hour a day. Most of it is predictable: questions about prices, availability and orders. Hand it over with a simple rule: anything that needs a decision comes to you.
2. Enquiry replies
Speed wins work. A customer who waits a day for a reply has often booked someone else. Let someone else send the first reply, answer common questions and book the next step.
3. Booking and rescheduling
Back-and-forth about dates and times is pure admin. An online booking page plus someone to handle changes takes it off your plate.
4. Following up quotes
Many quotes are never chased. A polite follow-up after a few days wins work you would otherwise lose.
5. Invoices and payment reminders
Sending invoices on time and chasing late payments is uncomfortable and easy to put off. It's ideal to hand over.
6. Customer records
Keeping contact details, notes and job history up to date makes everything else easier, and it's a job someone else can do well.
7. Social media posting
Consistent posts matter more than perfect ones. Give someone your photos and a few notes each month and let them do the rest.
8. Review requests and replies
Asking happy customers for Google reviews, and replying to every review, builds trust and helps you show up locally.
9. Website updates
Opening hours, prices, new photos and offers. Small changes that never get done are easy to hand over.
10. Supplier and software admin
Renewals, logins, subscriptions and paperwork. Someone organised can keep it tidy and spot the subscriptions you no longer need.
How to start
Pick the one job that annoys you most and hand that over first. Write down how you like it done, agree what should come back to you, and review it after two weeks. Most owners add more once they see it working.
